    • Our client is an inspection and industrial services specialist, leveraging innovative technologies, critical insights, state-of-the-art equipment, and advanced data management. They focus on significantly increasing the lifetime and performance of industrial assets through unique packages and turnkey solutions.

      This position reports to the America's Human Resources Manager and regularly interfaces with the entire America's team, including regional leadership, sales, operations, accounting, and QHSE.

      Main Responsibilities:

      • Receive office visitors, deliveries, and mail.
      • Manage operational administrative processes, implementing improvements and organization.
      • Maintain optimal office supply inventory and consumables.
      • Manage company files, digitizing historical files and documents to support a paper-free environment.
      • Arrange travel for project teams and sales team members, serving as backup for the lead travel coordinator.
      • Assist the sales team with marketing and trade show preparations, including managing marketing supplies and materials.
      • Organize a minimum of two Community Services events per year.
      • Manage and track employee events and calendar (lunches, holiday parties, service anniversaries, birthday messages, etc.).
      • Interface with vendors for office purchases and leases (cell phones, copiers).
      • Demonstrate excellent communication skills and professionalism, promoting a positive work environment. A customer service attitude is essential for both internal and external customers.
      • Support process improvement initiatives.
      • Continuously learn and adapt to evolving work and business environment changes.
      • Ensure coffee and office machines remain operational.
      • Assist Managers as needed.
      • Run offsite errands as needed.
      • Perform other clerical duties as required, including maintaining files, copying, scanning, etc.
      • Provide occasional after-hours and weekend support for 24/7 field project teams.
      • Conduct occasional off-site errands, including office supplies, team building events, and bank deposits.

      Requirements:

      • Ability to work on-site daily.
      • Minimum of 3 years’ experience in a similar office administrative role.
      • Excellent communication skills (English, both written and verbal).
      • Strong attention to detail and follow-up skills.
      • Excellent organization and time management skills.
      • Ability to meet deadlines and work under time constraints.
      • Ability to work independently and manage multiple projects.
      • Proficiency with Microsoft Office products (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
      • Strong ability to communicate effectively and constructively with managers, peers, and customers.

      Physical Demands & Work Environment:

      • Continually required to stand, walk, and sit.
      • Continually required to talk and listen.
      • Frequently required to utilize visual acuity to operate office equipment, read information, and use a keyboard.
      • PPE required in certain shop areas.
      • Occasional lifting (20 lbs.) of office equipment or supplies.
